Terms and Conditions for Al-Sarh Travel & Tourism Services
Introduction
These terms and conditions apply to the services provided by Al-Sarh Travel & Tourism. A customer's request for any of the company's services, completion of a booking, or payment of any due amounts constitutes an acknowledgment that they have read and agreed to these terms and conditions.
First: Terms and Regulations for Airline Tickets and International Travel
1. Prices and Booking Availability
1.    Airline ticket prices are subject to travel dates and times; the price is determined based on availability and the class of service available at the time the booking is requested.
2.    Multiple price points may exist for a single class of service; the price varies depending on availability and specific fare conditions.
3.    Merely making a booking or providing a price quote to the customer does not constitute a final price. The airline reserves the right to change the price until the ticket is actually issued, even if a deadline for purchasing the ticket has been set.
4.    The customer is responsible for verifying the final price and ticket conditions prior to issuance.
2. Refunds, Modifications, and Cancellations
1.    Conditions regarding ticket refunds, itinerary changes, and cancellation or modification fees vary from one airline to another.
2.    The customer must inquire about and verify the terms regarding modifications, cancellations, and refunds before the ticket is issued.
3.    Certain types of tickets are non-refundable, even if unused.
4.    When requesting a change to travel dates after ticket issuance, the customer is liable for any modification fees imposed by the airline, in addition to any difference in the ticket price or class of service.
5.    Some tickets cannot be refunded or have their dates changed, even if unused.
6.    "Open" tickets are not available; specific travel dates must be selected. 7.    If the customer wishes to cancel a booked and issued ticket, they must simultaneously select an alternative travel date, provided the ticket conditions allow for this; otherwise, the ticket may become invalid and non-refundable, in accordance with the airline's terms and conditions.
3.    Flight Cancellations by the Airline
Al-Sarh Travel & Tourism Company bears no responsibility for flight cancellations by the airline; the Company’s role is limited to monitoring the status on the traveler's behalf and attempting to identify solutions or options mandated by the airline.
4.    Booking and Passport Details
1.    The customer is responsible for verifying the accuracy of travel dates, noting that bookings are based on the Gregorian calendar.
2.    The customer must review the details with a Company representative after completing the booking to confirm the accuracy of the dates and the flight itinerary.
3.    Passport validity must be verified; the passport must be valid for a minimum of six months, in accordance with the requirements outlined in these terms.
4.    The passport (or a certified true copy thereof) must be presented when making international bookings.
5.    The customer acknowledges that the names entered for the booking must match those in the passport and that name amendments may not be possible after the booking is finalized.
5.    Visas, Entry Regulations, and Transit
1.    The customer is responsible for ensuring they have obtained all necessary visas and permits for their intended destination.
2.    This includes visas required for accompanying persons, such as domestic workers or staff, where applicable.
3.    The customer must ensure that the visa's validity period permits entry on the scheduled travel date, as some countries do not allow entry prior to the date specified on the visa. 4.    Transit visa requirements must be verified, as some countries may mandate a transit visa even if the passenger does not leave the transit area or disembark from the aircraft.
5.    The customer is responsible for ensuring that the required visa is obtained prior to ticket issuance, whenever such a visa is required and obtainable.
6.    Disclaimer of Liability
The customer acknowledges having reviewed the terms and conditions regarding tickets, visas, and travel requirements. The Company shall not be held liable for any consequences arising from the customer's failure to comply with these requirements after leaving the Company’s premises and having been informed of said terms.
II: Terms and Conditions for Hotel Bookings and Tour Packages
1.    Nature of the Contract and Liability
The service voucher constitutes a binding contract between Al-Sarh Travel & Tourism and the customer (or their representative who requested the booking and signed the form on behalf of the concerned party).
The Company’s liability is limited to the agreed-upon services specified in the service voucher issued and approved by the Company.

2. Deposit and Initiation of Booking Procedures
To open a file and proceed with the booking, an initial payment of at least 15% of the total booking value is required.
This amount is non-refundable should the client request cancellation or fail to complete the booking.
3. Final Payment and Settlement of Dues
The final payment is due within 3 days of the hotel's cancellation deadline.
If the client fails to pay the outstanding balance or the remainder of the booking cost, the amount already paid shall be deemed a cancellation penalty, and the client shall have no right to claim a refund, in accordance with the agreed terms.
4. Non-Refundable Services
For bookings involving apartments, cruises, trains, and ancillary tourism services (such as transportation and tours), full payment is required prior to initiating the booking request.
These amounts are non-refundable, except in cases where the company fails to confirm the booking.
5. Booking Modifications
If a client requests a modification to a confirmed booking that is eligible for modification and refund, the client shall bear any price difference resulting from the modification, in addition to the modification fees specified in the service voucher.
6. Service Voucher
Upon full payment of the booking cost, the client receives the Al-Sarh Company service voucher, which details the agreed-upon and confirmed services.
This voucher enables the client to access the services through the hotel, the company’s representative, or its agents in the destination country.
7. Refund for Unused Nights
Generally, a client may request a refund for the value of unused nights—subject to the deduction of cancellation or modification fees—provided the following are submitted:
•    An official document from the hotel confirming that the nights were not used.
•    Hotel approval to refund the value of the unused nights to the agent. •    An official letter from the hotel, stamped and signed by the authorized official.
Refund requests not accompanied by the required documents will not be considered.
8. Special Cases and Group Trips
Refunds for unused nights are not available in special cases where the client is notified prior to booking finalization and such cases are noted on the service voucher.
This also applies to group trips; periods of exhibitions, conferences, holidays, and special events; and bookings for apartments, cruises, trains, car deliveries, tours, and third-party chartered trips, subject to the service provider's terms and conditions.
9. Refund Request Deadline
Requests for refunds for unused nights must be submitted within a maximum of 15 days from the hotel check-out date; the client forfeits the right to claim a refund after this period has elapsed.
10. Refund Processing Time
The process for refunding unused nights takes between 3 and 4 weeks from the date the refund request is received with all required documents.
11. Personal Guarantees and Security Deposits
The Company is not liable for amounts paid by the client to hotels or apartments as security deposits for personal expenses.
Furthermore, the Company is not liable for amounts paid to car rental companies as security deposits against traffic violations or repairs for damage caused by misuse.

III. Visa Issuance Terms and Conditions
1. Authorization and Responsibility for Information
The client authorizes Al-Sarh Travel & Tourism to process the visa application and related requirements based on the client's request.
The client bears full responsibility for the accuracy and completeness of the information, data, and documents provided to the Company. 2. Documents Submitted to the Embassy
The Company shall not be held liable for the loss of any papers or documents after they have been submitted to the Embassy or to offices authorized by the Embassy, ​​including passports, bank statements, and any other required documents.

3. Client Obligations
The Client undertakes to cooperate with the Company and provide the required documents and information within the specified timeframe. The Client also commits to providing any additional documents requested by the Embassy or the Company and to responding to the Embassy when contacted.
4. Embassy Decision and Visa Issuance Timeframe
The Company bears no responsibility for decisions made by the visa-issuing authority, including application rejection or non-acceptance, the issuance of a visa that does not match the application, or delays in issuance.
5. Visa-Related Bookings and Losses
The Company is not liable for financial or non-financial losses resulting from Embassy decisions or errors, including losses related to flight tickets, hotel and transport reservations, or tourism, medical, educational, or recreational programs booked in connection with the visa application.
6. Non-Refundable Fees
Visa fees determined by the Embassy or its authorized offices are non-cancellable and non-refundable once paid.
Fees for translation, medical insurance, and any other services or requirements fulfilled at the Client's request are also non-refundable, regardless of whether the visa is approved or not.
Company service fees are non-refundable in cases of rejection, delay, or date changes attributable to the Embassy or the visa-issuing authority.
7. Appointments, Biometrics, and Electronic Services
The Company bears no responsibility for the failure to process a visa application due to the unavailability of appointments, the inability to capture biometrics, the closure or suspension of Embassy operations, or the malfunction of its websites and electronic services. 8. No Guarantee of Visa Issuance
The Client acknowledges that the Company does not guarantee the acceptance of the visa application and that the Company is not a visa-issuing authority, nor is it affiliated with the embassy or any competent government body.
The Company’s role concludes upon the review of the application and the entry and completion of data based on the documents provided by the Client.
9. Incomplete or Incorrect Data and Documents
The Client bears responsibility for any visa refusal resulting from the submission of incomplete or incorrect information or the failure to provide the required travel documents and supporting materials.
10. Submission via a Representative
If the application is submitted by a person acting on behalf of the passport holder, the Company reserves the right to accept the applicant's signature and hold them liable under these terms; this liability also extends to the passport holder, as they have authorized a third party to submit the application.
11. Modification of Service Procedures
The Company reserves the right to modify, add, or introduce new methods and procedures, or to temporarily suspend or cancel the service, while taking necessary measures to protect the security and confidentiality of information accessed by the Client during the application process.
12. Disclosure of Information
The Client is obligated to disclose all information and data required for the visa application, including supporting documents, contact details, previous visas, and any past travel-related incidents or issues that might affect the likelihood of visa issuance.
13. Severability
If any provision of these terms is found to be invalid or unenforceable, the validity of the remaining provisions shall not be affected; the invalid provision shall be replaced by a valid and enforceable provision that achieves the intended purpose to the greatest extent possible.
14. Entire Agreement and Updates to Terms
These terms and conditions constitute the entire agreement between the parties and supersede any prior understandings, discussions, or agreements regarding the service. The Customer acknowledges the Company’s right to update or amend these terms from time to time for legal, regulatory, or security reasons, or as a result of any updates or changes.
15. Travel Requirements Post-Visa Issuance
The Customer acknowledges that visa and travel requirements are subject to change and agrees to update their information prior to departure.
The Customer also bears responsibility for any refusal of boarding or entry into the destination country resulting from errors in passport details, visa information, or documentation required by airlines or competent authorities.

16. Document Imaging and Archiving
The Client consents to the imaging and archiving of necessary government documents and records to the extent required to execute visa issuance procedures.

IV. Terms and Conditions for Medical Tourism Services
1. Service Authorization
The Patient authorizes Al-Sarh Travel and Tourism Company to process the medical service request and associated requirements based on the Patient's request.
2. Responsibility of the Patient or Their Representative
The Patient bears full responsibility for any person they authorize to carry out procedures, declare information, or submit documents on their behalf.
3. Medical Documents and Reports
The Company shall not be held liable for the loss of any papers, documents, reports, or medical imaging (X-rays/scans) submitted to the medical service provider.
4. Advance Payment
The Patient is required to pay an advance amount of SAR 1,388 to initiate the booking procedures for the medical service.
This amount is non-refundable; however, it will be deducted from the total cost of the medical program should the Patient purchase the full program.
5. Medical Reports and Information
The Patient or their representative is required to submit all medical reports and medical imaging, and to provide any updates or additional medical information within a maximum of 24 hours of the request, to enable review by specialized and accredited physicians.
6. Medical Report Format
Medical reports and test results must be submitted in typed (electronic) format—not handwritten—and in English. They must be recent, in accordance with the timeframes specified by the medical service provider; generally, the issuance date must not exceed six months, though some reports require a timeframe of no more than one month. 7. Booking Confirmation and Payment
Upon confirmation of the booking and delivery of acceptance documents and the appointment schedule to the patient, the full cost of the requested service must be paid. The treatment provider will then issue a confirmation of payment and the appointment.
The patient is also required to meet the visa requirements of the relevant country prior to the scheduled treatment date.
8. Visa Refusal
In the event that the embassy of the relevant country refuses to grant a visa to the patient or their companions, proof of such refusal must be submitted at least 30 working days prior to the scheduled treatment date.
Refunds will only be issued after deducting administrative fees and outstanding costs, and upon obtaining approval from the treatment provider, in accordance with their terms and conditions.
9. Treatment Provider Readiness
The Company bears no responsibility for the treatment provider's inability to receive the patient or handle their case due to a lack of appointments, unavailability, staff shortages, suspension of operations, or equipment and device malfunctions.
10. No Guarantee of Acceptance
The Company does not guarantee the patient's acceptance by the treatment provider. Its obligations—within the agreed scope of service—conclude upon the review of the application, data entry, and completion of the procedures required by the treatment provider.
11. Provision of Documents and Data
The patient bears full responsibility for providing all documents, records, medical reports, test results, and specialist opinions requested by the Company or the treatment provider.
12. Visas and Treatment-Related Bookings
The Company bears no responsibility for the refusal of visa applications for the patient or their companions by any embassy, ​​nor for embassy fees, courier charges, or penalties associated with the cancellation or refund of hotel bookings and flight tickets. 13. Administrative Cancellation Fees
In the event of cancellation, the Company reserves the right to retain the prepaid amount of SAR 1,388 or 25% of the total value of the requested treatment or services as a non-refundable administrative fee, depending on the specific circumstances and the terms of service.

14. Accommodation and Booking Details
The patient (or their representative) is responsible for providing the required accommodation information, the patient's name in English exactly as it appears on their passport, and flight booking details.
15. Diagnosis and Medical Reports
The Company bears no liability for damages or consequences arising from errors regarding the medical diagnosis or medical reports issued by specialized entities; liability in such cases rests with the relevant parties responsible for them, subject to applicable circumstances.
16. Compensation
Any claims for compensation are subject to the regulations and competent authorities of the country where the patient receives treatment, in accordance with applicable laws and rulings by competent bodies.
17. Reduction of Treatment Duration or Non-Utilization of Procedures
In the event that the treatment duration is reduced or certain medical procedures are not utilized, the treatment provider determines the refundable amount.
The patient must obtain authorization for the refund from the treatment provider and notify them at least four weeks prior to discontinuing or leaving the treatment; please note that some treatment providers do not accept refund requests after payment has been made.
18. Medical Errors and Non-Compliance
The Company bears no liability for medical errors committed by the medical service provider, the failure to achieve the desired treatment outcome, or the patient's failure to adhere to the medical provider's instructions or scheduled appointments.
19. Timeframe for Financial Transactions
Financial transactions between the patient and Al-Sarh Tourism and Travel Company conclude six calendar months after the contract date, subject to the terms governing the service.
20. Administrative and Organizational Rights of the Company
The Company reserves the right to:
•    Amend, add, or introduce new methods and procedures. •    Temporarily restricting, suspending, or cancelling the provision of the service or any of its access points.
•    Taking necessary measures to maintain the security and confidentiality of information accessed by the patient during the application process.
21. Disclosure of Information
The patient acknowledges their willingness to disclose the information and data requested by the Company for the purpose of providing the service or any related procedure.
22. Severability
If any term becomes invalid or unenforceable, it shall not affect the remaining terms; instead, it shall be replaced by a valid and enforceable provision that achieves the intended purpose as closely as possible.
23. Entire Agreement
These terms and conditions constitute the primary agreement between the parties and supersede any prior understandings, discussions, or agreements regarding the service.
24. Updating Terms
The patient agrees to the Company’s right to amend or update all or part of these terms for legal, regulatory, or security reasons, or as a result of any updates or changes.
25. Data Sharing
The patient (or their representative) agrees to the sharing of data, information, and copies of official documents with official entities or banks that may request or require them to facilitate the provision of the service.

Fifth: Booking and Cancellation Terms for Language Institutes and Schools
1. Registration Fees
To initiate the booking process, the student must pay an upfront amount of SAR 3,000 as a registration fee. This amount is considered a partial payment toward the total cost of the study program; it is non-refundable and is treated as an administrative fee.
2. Booking Confirmation and Fee Payment
Upon confirmation of the booking and delivery of acceptance documents to the student, the full course fee—minus the upfront payment—must be settled. This is required to issue a confirmation from the school regarding the payment of tuition fees and the confirmation of the study booking.

3. Visa refusal

If the relevant embassy refuses to grant the student a travel visa, proof of such refusal must be submitted at least 30 working days prior to the program start date.
Refunds are subject to the terms and conditions of the school or institute, following the deduction of applicable registration and administrative fees, as outlined in the Terms of Service.
4. Visa Refusal Liability
Al-Sarh Travel & Tourism (or its representatives) shall not be held liable for an embassy’s refusal of a visa application, nor for fees paid to the embassy, ​​courier charges, or cancellation penalties for flight bookings and tickets.
5. Cancellation
In the event of cancellation, the Company reserves the right to retain the advance payment of SAR 3,000 as a non-refundable administrative fee.
6. Student Information
The student (or their representative) is required to provide all necessary information prior to registration—including health details, accommodation preferences, and their name in English exactly as it appears on their passport—and must submit the original passport.
7. Accommodation and Host Family
The Company conveys the student’s accommodation or host family preferences and specifications to the school or institute; the service provider endeavors to secure an option that best matches these specifications.
These specifications are treated as requests or preferences rather than guarantees, and the Company assumes no liability if they cannot be met.
The student must also submit a copy of the visa to the Educational Services Department at least 15 days prior to travel; please note that accommodation details may not become available until 48 hours before the start of classes.
8. Accommodation Issues
Should the student encounter any issues regarding their accommodation or host family, they must communicate directly with the accommodation coordinator at the school or institute to resolve the matter. Accommodation changes are only permitted once the institute provides a suitable alternative; the student bears any cost differences or fees resulting from the change.
9. Reduction of Study Duration
If the duration of the course or study program is reduced, the school or institute is the sole authority determining the refund amount.
The student must obtain authorization from the school or institute to receive a refund for the reduced duration and must notify the educational institution at least four weeks prior to discontinuing or leaving the program.
Some institutes may not accept refund requests after the course has commenced.
10. Cancellation Prior to the Start of Studies
Cancellation is permitted by some schools and institutes up to 30 days before the start of studies. The school, institute, or Al-Sarh Company reserves the right to retain the advance payment, 25% of the total course value, or any non-refundable fees—in addition to transfer fees—in accordance with the service provider's terms.
Special rates granted for annual or long-term study programs are non-refundable, subject to specific terms and conditions.
11. Attendance and Compliance with Regulations
The Company bears no responsibility if a student is expelled or if the school or institute requests their deportation from the country due to a lack of academic commitment, low attendance rates, repeated absences, or violations of the laws and regulations of the country of study.
12. Minimum Attendance Requirement
The student is responsible for meeting the required attendance rate. If attendance falls below 85% of the total course days, the Company is not liable for the student’s failure to obtain a course completion certificate. 13. Violation of Accommodation Rules
The Company bears no responsibility for a student’s removal from host family or institute accommodation resulting from violations of rules, regulations, or established customs, or from the deliberate causing of problems.
The student shall bear any additional financial costs associated with securing alternative accommodation.
14. Expiration of Financial Claims
Financial settlements between the student and Al-Sarh Tourism and Travel Company shall conclude 60 calendar days after the contract date, in accordance with the provisions set forth in the original terms and conditions.
15. Data Sharing

The student (or their representative) consents to the sharing of their data, information, and copies of official documents with entities requiring them to facilitate the service—including official bodies and banks—in accordance with the purpose of the service.
16. Flight Bookings and Visas
The student is required to submit flight booking details and a copy of their visa to the Educational Services Department at least 15 days prior to travel.
The student acknowledges that accommodation details may not be available until 48 hours before the start of studies and that the service provider reserves the right to modify or cancel arrangements in accordance with its terms. The Company bears no liability for consequences arising from the failure to submit required documents by the specified deadlines.
17. Authorization to Share Data
The student authorizes Al-Sarh Tourism and Travel Company (or its representatives) to share their personal and health data, document copies, and contact information—to the extent necessary to facilitate the service—with language institutes, universities, student housing providers, host families, embassies, and airline or transport companies.
18. Submitted Data and Documents
The student acknowledges having reviewed the Company’s policy regarding data and documents, as outlined in the original terms of service.
Consent to Process the Client’s Personal Data in Accordance with the Requested Service:
If the client is requesting a service on behalf of a third party, they acknowledge that they are authorized to provide the Company with the personal data required for the designated service; that such data is accurate; and that they have informed the concerned individuals that the data will be used to facilitate the requested service in accordance with the privacy policy. Protection and Processing of Personal Data:
1.    The service applicant acknowledges that the personal data provided pertains to them or to the service beneficiaries—whether they are the beneficiary themselves, a beneficiary acting on their own behalf and that of others, or an applicant acting on behalf of others—and that they possess the necessary authority or legal basis to submit such data for the purpose of providing the service and executing the booking and related procedures.

2.    Personal data necessary for providing the service and executing the booking and related procedures shall be collected and processed in accordance with the provisions of the Personal Data Protection Law and its Implementing Regulations, and to the extent necessary to achieve the specified purposes of processing.

3.    When submitting personal data pertaining to another person, the service applicant undertakes to inform that person that their data is being submitted for the purpose of providing the service, whenever required under the provisions of the Personal Data Protection Law.

4.    Confidentiality and protection of personal data shall be maintained. Such data shall not be retained after the purpose of its collection has been fulfilled, except where the law requires or legal obligations necessitate retention for a longer period, provided that the data is destroyed in accordance with applicable legal requirements.

5.    The personal data subject has the right to exercise their rights established under the Personal Data Protection Law—including requesting access to, correction of, or destruction of their personal data, and withdrawing consent for data processing where consent constitutes the legal basis for such processing—in accordance with relevant legal provisions and regulations.

6.    By submitting the service request, the service applicant acknowledges the accuracy of the provided data and confirms their awareness of and consent to the processing of their personal data in accordance with these Terms and Conditions, in cases where consent constitutes the legal basis for processing.

 

Visa Offer Terms and Conditions (National Day)

•  The offer is valid from September 23 to September 24, 2026.
•  All prices and availability are subject to change without prior notice.
•  Service fees do not include appointment, translation, or insurance costs.
•  Al-Sarh Travel & Tourism is not liable for any changes to embassy fees during the offer period.
•  Prices are per person and in Saudi Riyals (SAR).
•  The offer is valid while available appointments last.

 

International Driving Permit Offer Terms and Conditions (National Day)

•  The offer is valid from September 23 to September 24, 2026.
•  All prices and availability are subject to change without prior notice.
•  Al Sarh Travel & Tourism is not liable for any changes to service fees during the offer period.
•  Prices are per person and in Saudi Riyals (SAR).
•  The offer is valid while supplies last.
•  Collection is from the Al Sarh Travel & Tourism main branch.
•  The offer covers the issuance of a maximum of two International Driving Permits (one per person); a third permit cannot be added to the offer.
•  To qualify for the second permit at the promotional price of 96 Halalas, the first International Driving Permit must be purchased at the standard price of 96 Riyals.

 

US Visa Offer: Terms and Conditions

•  The offer is valid from September 1 to September 30, 2026.
•  The offer applies to cash payments only.
•  All prices and availability are subject to change without prior notice.
•  Al-Sarh Travel & Tourism is not liable for any changes to embassy fees during the offer period.
•  Prices are per person and quoted in Saudi Riyals.
•  The offer is valid while available bookings last.

 

 

US Visa Offer Terms and Conditions

• The offer is valid from September 1 to September 30, 2026.

• The offer price is SAR 899 per person, covering the US visa application fee and Al-Sarh Travel & Tourism’s service fee for the eligible category.

• The offer applies exclusively to the US B1/B2 visitor visa.

• The offer is available for direct payment at Al-Sarh branches during the promotional period.

• Should there be any official adjustment to fees charged by the embassy or relevant government authorities after the offer is announced but prior to payment to the relevant entity, the fee amount may be adjusted to reflect the official increase; the customer will be notified of such a change before the procedure is finalized.

• Visa application fees paid to the embassy or relevant authorities are non-refundable, in accordance with the regulations and policies of the relevant authority.

• Submitting an application and paying the fees does not guarantee visa issuance; the decision to approve or reject the application rests entirely and exclusively with the relevant US authorities.

• Al-Sarh Travel & Tourism does not guarantee securing an interview appointment within a specific timeframe; appointment availability and processing times are subject to scheduling availability and the procedures of the embassy and relevant US authorities.

• Certain applications may be subject to additional procedures or requirements mandated by the embassy or relevant authorities, and processing times vary from case to case.

• The applicant is responsible for the accuracy and completeness of all submitted data, information, and documents. Al-Sarh assumes no liability for delays or rejections resulting from incorrect or incomplete information or documentation. • Al-Sarh Company bears no responsibility for any delays, rejections, requests for additional documentation, or administrative procedures issued by the embassy or relevant U.S. authorities.

• The price does not include any fees or additional services not explicitly stated in the offer, if applicable.

• The offer is non-transferable for cash value and cannot be combined with other offers or discounts.

• The offer is valid until its expiration date or until the allocated quota is exhausted, whichever comes first.

• Terms and conditions, as well as the service's cancellation and refund policy, apply.
